What Are They and How Can They Be Avoided?
A conflict of interest arises when a person is influenced to act in a certain way due to a personal interest or the possibility of obtaining a personal or economic benefit in a situation that may affect objective decision making.
To prevent conflicts of interest, all employees are expected to comply with the following guidelines:
• Report any actual, potential, or perceived conflict of interest involving family members or friends, whether within the company or in relationships with customers, suppliers, or contractors.
• Inform the company of any situation in which personal interests may conflict with the interests of PREFLEX.
• Refrain, whenever possible, from accepting gifts, meals, entertainment, or special attention from customers, suppliers, or business partners that could influence professional judgment or business decisions.
• Communicate with any affective or personal relationships established within the workplace to the Human Resources Department.
• The hiring of friends or family members must comply with the company’s recruitment and hiring policies and requires approval from the Presidency of the company. Under no circumstances may there be direct dependency, subordination, or influence relationships between the involved employees.
How Can Conflicts of Interest Be Avoided?
• Respect and comply with all applicable laws, regulations, internal policies, and organizational procedures.
• Avoid conduct intended to obtain improper benefits for yourself, your family members, or friends.
• Ensure proper segregation of duties in decision making processes to avoid situations in which the same person exercises control and approval over the same matter.
• Ensure that the interests of the organization prevail in all actions and decisions.
• Do not use company resources, confidential information, work tools, equipment, influence, or position for personal gain or for the benefit of third parties, nor for purposes unrelated to the responsibilities of your role.
